Vendors (Carriers)

This guide explains how to use the Vendors module in Pelcro to create, manage, and maintain vendor records for accounts payable workflows. It covers how to configure vendor profiles, track bills, and organize delivery routing to ensure accurate and efficient operations.

The Vendors section is part of Pelcro’s Accounts Payable (AP) – Beta functionality. It allows admin users to centrally manage vendor records that are used for creating and tracking bills within the platform.

This guide covers how to access, create, and manage vendors.

Where to Find Vendors

Navigate to:

Payables → Vendors

This section is available only to admin users.

Overview

The Vendors module allows you to:

  • Maintain a centralized list of all vendors
  • Create and update vendor profiles used in bill creation
  • Search, filter, and sort vendors for faster access
  • Ensure consistent vendor data across AP workflows

Vendor records serve as the foundation for bill creation in the AP system.

Vendors List View

The Vendors list provides:

  • A table view of all vendors
  • Search by vendor name or email
  • Sorting and filtering options for easier navigation

From this view, admins can:

  • View vendor details
  • Edit existing vendors
  • Delete vendors (if not restricted by usage)
Image

Creating a vendor

  1. Go to Accounts Payable → Vendors.
  2. Click Create Vendor.
  3. Enter the vendor’s core details.
Image

Optional: Add financial information

Add Financial Information if you want to store payout details for the vendor:

  • Account holder name
  • Bank name
  • Routing / transit number
  • Account number
  • Account type (Checking or Savings)
  • Currency
  • Country
  1. Click Save.

Configure vendor routes & rates

When creating or editing a vendor, you can define how deliveries are assigned and routed using delivery zone prompts and delivery sequencing.

Delivery Rules (Beta)

The Delivery Rules prompt defines two things for a vendor:

  1. Coverage: where the carrier delivers (ZIP codes, streets, and building ranges). Pelcro uses this to assign the vendor to matching shipping addresses automatically.
  2. Pay: the rate per delivered copy for each product, and the deduction per missed delivery by reason code. The billing run uses these amounts to calculate the vendor's bill.

Because rates live in the same prompt, no separate rate-configuration screen is needed.

Writing Delivery Rules

Write one RATES line for what the carrier is paid, followed by one line per ZIP code with its streets and building ranges:

RATES: Daily Paper 0.45, Sunday Paper 0.45. Deduct MD1 0.20.
ZIP 12345: MAPLE AVE 3000-4500; RIVER RD 5500-7500 BOTH
ZIP 12346: OAK ST 2700-3298 EVEN, 2701-3599 ODD
ZIP 12347: ALL
ZIP 11111, 22222, 30000-30099: ALL. Daily Paper 0.40. Deduct MD1 0.20, any other reason 0.80.
To do thisWriteExample
Set rates per productA RATES line with product names exactly as they appear in PelcroRATES: Daily Paper 0.45, Sunday Paper 0.45.
Set one rate for every productA rate with no product name0.50 per shipment
Deduct for a missed-delivery codeDeduct followed by the code and amountDeduct MD1 0.20.
Deduct for every code you didn't listany other reason with an amountany other reason 0.80
Cover a whole ZIP codeALL after the ZIPZIP 12347: ALL
Cover several ZIPs or ZIP ranges on one lineSeparate them with ,ZIP 11111, 22222, 30000-30099: ALL
List several streets in one ZIPSeparate streets with ;MAPLE AVE 3000-4500; RIVER RD 5500-7500
List several ranges on one streetSeparate ranges with ,OAK ST 2700-3298, 2701-3599
Serve one side of the street onlyAdd EVEN or ODD after the rangeOAK ST 2700-3298 EVEN

How rates apply:

  • A RATES line applies to every ZIP line below it, until the next RATES line. This lets one prompt pay a carrier different rates in different areas.
  • Rates and deductions written on a ZIP line apply to that line only, overriding the RATES line above it.
  • The rate paid for each delivered copy depends on the product delivered and the rule that matched the address, so the same carrier can earn different rates for different products and areas.
📘

Plain Sentences Work Too

You don't have to use the line format. For example: "Covers ZIP 11111 and 22222, earns 0.40 per shipment, deducts 0.80 for any other reason." Every line is read into address rules either way, and you review them before saving.

Converting Rules From a Spreadsheet or PDF

If your carrier rules are in a spreadsheet, a PDF, or your own notes:

  1. Click Copy formatting skill.
  2. Paste it into ChatGPT, Claude, or Gemini, together with your file.
  3. Paste the answer into Delivery Rules Description.

Click View skill to see the formatting instructions before you copy them.

Steps

  1. Open the vendor record.

  2. In Delivery Rules, write your rules in Delivery Rules Description.

  3. Click Preview rules.

  4. Review the address rules Pelcro read from your description.

  5. Confirm, then save.

    Image

How it Works

  • Coverage rules assign the vendor to matching shipping addresses. Unmatched addresses stay unassigned.
  • The rate for each delivered copy is applied to every copy attributed to the vendor within a billing cycle.
  • A deduction is applied for missed deliveries whose code is listed in the prompt. If you include any other reason, that amount is deducted for every code you didn't list. Without it, unlisted codes don't reduce the bill.

Example

RATES: Daily Paper 0.45, Sunday Paper 0.50. Deduct MD1 0.20.
ZIP 12345: MAPLE AVE 3000-4500; RIVER RD 5500-7500
ZIP 12346: OAK ST 2700-3298 EVEN
ZIP 30000-30099: ALL. Daily Paper 0.40. Deduct MD1 0.20, any other reason 0.80.

In this example:

  • In ZIP 12345 (Maple Ave 3000-4500 and River Rd 5500-7500) and ZIP 12346 (even numbers on Oak St 2700-3298), the carrier earns 0.45 per Daily Paper and 0.50 per Sunday Paper. MD1 misses deduct 0.20, and other codes deduct nothing.
  • Across ZIPs 30000-30099, the carrier earns 0.40 per Daily Paper. MD1 misses deduct 0.20, and any other code deducts 0.80.

Missed Deliveries & Deduction Codes

Missed deliveries reduce a vendor's bill only when they are recorded against a subscriber's fulfillment with a code, and that code is listed as a deduction in the vendor's Delivery Rules.

Recording a missed delivery

  1. Open the subscriber and locate the relevant fulfillment
  2. Mark the fulfillment as a misdelivery
  3. Set the reason to Other
  4. Enter the missed-delivery code (e.g., MD1)
  5. Save

How it affects the bill

  • When billing runs for the cycle, each recorded missed-delivery code is checked against the vendor's Delivery Rules.
  • If the code is listed as a deduction, the configured amount is subtracted from that vendor's net payable.
  • If the code is not listed, it is counted for reporting but does not reduce the bill, unless the vendor's Delivery Rules include an any other reason deduction. In that case, that amount is deducted for every unlisted code.
📘

Note: Codes are matched exactly as written in the Delivery Rules prompt. Make sure the code entered on the fulfillment matches the code in the vendor's prompt (e.g., MD1).

Configure Delivery Sequence

The Driver Delivery Sequence defines the order in which deliveries are performed for a driver within a route.

This value is set at the address level when creating or editing a Shipping address, and is used during vendor routing and fulfillment.

  • Lower numbers are delivered first
  • Higher numbers are delivered later
  • If no sequence is provided, delivery order may be determined automatically

This value is included in fulfillment exports and helps preserve delivery route sequencing.

For instructions on how to set this value, see Creating an Address.

Reassign Vendors in Bulk (AI Agent)

You can reassign addresses from one vendor to another in bulk using natural language, instead of updating each address one by one.

How It Works

  1. Ask the AI Agent to reassign addresses, for example: "Move all addresses assigned to Vendor A to Vendor B."
  2. The agent identifies the source vendor, destination vendor, and the addresses in scope.
  3. Before making any changes, the agent shows you a summary — source vendor, destination vendor, and number of affected addresses — and asks for confirmation.
  4. Once confirmed, only the vendor assignment is updated; all other address details stay the same.
📘

Note: Existing validation and permission checks still apply. If the destination vendor doesn't exist, or no addresses match, the agent will let you know and no changes will be made.

Image

Vendor Reassignment History

Every time an address is reassigned between vendors — whether individually or in bulk — Pelcro keeps a record of the change.

  • A new Previous vendor column shows which vendor an address was most recently reassigned away from.
  • A Revert action lets you restore an address to its previous vendor in a single step.

This makes it easy to move addresses back to their original vendor after a temporary reassignment, without having to track the change manually.

Carrier Tips

Pelcro supports recurring carrier tips for print subscriptions, allowing subscribers to optionally tip their delivery driver as part of their subscription billing cycle.

⚠️

Availability Note: Carrier Tips are only available for accounts using Pelcro's native billing engine.

Enabling Carrier Tips

Before tips can be collected, the feature must be enabled at the platform level:

  1. Go to Settings → Billing
  2. Locate the Vendor Tips toggle
  3. Enable the feature
  4. Click Save

Once enabled, carrier tips can be configured at the subscription level from both the platform and your website.

Image

How Carrier Tips Work

  • Tips are billed as a separate line item on the subscriber's invoice alongside their subscription
  • Tips are non-taxable and non-discountable by default
  • The tip is applied to the vendor assigned to the subscriber's delivery address
  • Each tip automatically generates an AP Bill under the corresponding vendor for reconciliation

Adding a Carrier Tip from the Platform

You can configure a carrier tip when creating or renewing a subscription from the platform:

  1. Open the subscription creation or renewal flow
  2. Locate the Carrier Tip field
  3. Enter the tip amount
  4. Choose whether the tip should be recurring (charged every billing cycle) or one-time
  5. Complete the subscription creation or renewal
Image

To remove a recurring tip from an existing subscription:

  1. Open the Subscription Details page
  2. Click on Update subscription
  3. Remove or cancel the recurring tip
Image

Adding a Carrier Tip from the Website

Subscribers can also manage their own carrier tip directly on your website:

  • During checkout or subscription management, subscribers can opt in to add a carrier tip
  • They can choose to make the tip recurring or apply it as a one-time charge

Note: The carrier tip input field will only appear on checkout once a carrier has been assigned to the subscriber's delivery address.

Image

Tip-to-Bill Flow

Once a tip is collected:

  1. The tip appears as a separate line item (vendor_tip) on the subscriber's invoice
  2. Upon successful payment, Pelcro automatically creates an AP Bill under the assigned vendor
  3. The bill references the source invoice for full traceability
  4. Publishers settle vendor payments through their existing AP workflows and mark bills as paid in Pelcro
Image

Editing a vendor

Admins can update vendor information at any time:

  • Open the vendor from the list view
  • Edit supported fields
  • Save changes

All updates are reflected immediately and apply to future bill creation.

Image

Deleting a vendor

Admins may delete vendors when appropriate.

Note: Deletion behavior may be restricted if the vendor is already associated with existing bills.

Vendor ACH / NACHA Export (Beta)

The Vendor ACH (NACHA) Export allows you to generate a payment file used by banks to process bulk vendor payouts via ACH.

This file follows the NACHA standard format, which is required for secure and compliant electronic payments between financial institutions.

How It Works

  1. Navigate to Accounts Payable → Vendors
  2. Click Export Payment Batch
  3. Pelcro will:
    • Identify vendors eligible for payout (negative balance + ACH enabled)
    • Calculate payable amounts per vendor
    • Generate a payment batch
  4. A NACHA file is generated containing:
    • Vendor banking details
    • Payment amounts
    • Internal reference IDs
  5. Download the file and upload it to your bank to process payments

Vendors without valid ACH details are automatically excluded from the export.

Image

Image

Requirements

To generate ACH / NACHA exports, you must configure:

1. Vendor ACH Details

Each vendor must have valid banking information:

  • Account number (securely stored)
  • Routing number
  • Account type
  • Authorization status

2. Your ACH Configuration (Required)

You must configure your company’s ACH originator details before exporting.

👉 Go to: Settings → ACH Configuration

This includes:

  • Company name
  • Bank routing number
  • Bank name
  • Federal Tax ID (EIN)
  • Entry description (e.g., “VENDOR PAY”)

Without this configuration, NACHA exports cannot be generated.

Beta limitations

The Vendors module is currently in Beta and includes the following limitations:

  • No vendor self-serve access
  • No public OpenAPI or SDK exposure
  • No accounting system integrations
  • No tax or multi-currency support

What’s next

After you create vendors, you can use them to create and manage bills in Accounts Payable → Bills.
